Enrollment Policy and Procedures
This enrollment policy is in accordance with Oregon Charter School law and guided by the goal of Madrone Trail Public Charter School to provide quality educational service to its students. For the school year 2008-2009, kindergarten, 1st, 2nd, and 3rd grades will be offered. We will be adding a grade each year until the school comprises grades kindergarten through 8th.
Enrollment Policies
General Information
All students who reside in the state of Oregon are eligible for admission to the Madrone Trail Public Charter School. Oregon Charter School law allows students to apply to the school from outside the school district without an inter-district transfer. The school will establish an official enrollment period immediately following the signing of the charter agreement with the Medford school district with the dates to be announced and published on the Medford school district website. Following this official enrollment period, should there still be available spaces, additional weekly enrollment periods will be added to fill the remaining spots. This weekly cycle following the official enrollment period is to ensure an expedited admission process and timely response back to families. If the number of applicants exceeds the capacity, students shall be selected through a lottery process at the end of the enrollment period. Details of this process are provided below.
Pre-Enrollment Procedure
Parent Orientation Meeting - This is the first step in the process - The Madrone Trail Public Charter school expects parents to attend a Parent Orientation Meeting in order to make an informed decision about enrollment. Parents will learn important details about the instructional philosophy and parental expectations of the school. In addition, this meeting will explain the nature of charter schools, and answer questions parents may have regarding the school.
The intent of this 2 hour meeting is to promote a clear understanding of the school's objectives and mode of operations in order to minimize the potential of families joining the school temporarily, based on unclear ideas of the nature of the school. In the event that a family cannot attend any of the pre-scheduled sessions, arrangements for an individual orientation meeting can be made by appointment.
During this meeting, the school will provide parents with an intent-to- apply form to complete in order to confirm their interest in the school. At the end of the enrollment period, should there be adequate spaces, the school will contact the parents and start the application procedure. If the demand exceeds the school capacity for a specific class, a lottery will be held for that class.
Applicants will be separated into two different categories -- in-district and out-of-district. The applicants' names will be written on a uniform sized card and be placed in two separate covered containers according to the categories. Priority will be given to resident applicants in the following manner: the process will start with drawing the resident applicants' names first until all names in this container are drawn or until all available spots are filled. If spots remain after all resident applicants are placed, the remaining spots may be filled by out-of-district applicants using a similar process. The drawing shall be made in the presence of at least two employees of the public charter school and two employees of the district. Exemption from the lottery process might be granted to siblings of children already enrolled (or during the first year, of those selected by lottery).
Waiting List
After all students are admitted, the name drawing continues to establish a waiting list for each class. Name cards will be numbered as they are drawn and the order in which they are drawn will determine the applicant's place on the waiting list.
Notification
Parents will be notified at the end of the enrollment period, as soon as the results are known, whether their child was enrolled or placed on the waiting list and if so in what position.
Following notification, all students admitted will receive an application packet with an application form, a health record form, an academic record request form and a parent expectation form. It is the parent's responsibility to return the complete application packet by the appropriate deadline to enroll the student.
Acknowledgment of Parent Expectations
One of the most important aspects of the MTPCS is parent participation. Involvement of parents will be what makes our school a community. We will be most successful in achieving our vision if our parent body is informed and involved in meeting the needs of our students and school. This requires a spirit of volunteerism, learning about the Waldorf curriculum and methods, and working toward reducing or eliminating exposure to influences that conflict with the philosophy of the school.
Grade Level Placement
Madrone Trail Public Charter School follows a developmental approach and has these requirements for minimum age in each grade level.
Kindergarten: Must be 5 years or older by June 1st, 2008
First Grade: Must be 6 years or older by June 1st, 2008
Second Grade: Must be 7 years or older by June 1st, 2008
Third Grade: Must be 8 years or older by June 1st, 2008
